24/7 AI Receptionist for HVAC Companies

A 24/7 AI receptionist for HVAC companies. It answers missed and after-hours calls, takes a proper message and emails you after every call. $297/mo.

Run · 24/7 AI Receptionist for HVAC companies

A no-cooling call at 2 a.m. goes to the next company.

Every call answered. Every message in your inbox.

When your techs are on a job, with a customer, or the office is closed for the night, your phone still gets picked up. Your AI Front Desk answers on its own phone line, trained on your business, takes a proper message with the caller’s number and email, notes how urgent it is, and puts calls through to you during your hours. You get an email after every call.

Free call: 30 minutes. Call Monday to Friday, 9 to 6 Eastern. Outside those hours, text the same number instead; I’ll see it first thing the next business morning.

The problem

The call you never hear about is the one the next company answered.

Picture a no-cooling call at 2 a.m. Nobody picks up, and most callers don’t leave a voicemail. They try the next name on the list, and you never find out who they were.

01

Closed for the night

The phone rings out after hours. Callers who need help now don’t wait for the morning.

02

Your techs are on a job

The people who would answer are under a unit or in someone’s attic, and the call goes to voicemail.

03

Already on the phone

While you are on one call, the next caller gets a ring-out. That caller tries someone else.

These are everyday situations, not statistics. Your own call log is the number that matters.

The missed-calls calculator

What could the calls you miss be worth?

Change the three numbers to match your business. The calculator multiplies them out, and shows the sum so you can check it.

Your numbers

Example numbers: 10 missed calls a week, 2 of them become booked jobs, $300 average job value. Turn on JavaScript to try your own numbers.

Additional monthly revenue

$2,600a month

That is about $31,200 a year.

The formula booked jobs × job value × 52 weeks ÷ 12 months 2 booked jobs × $300 × 52 ÷ 12 = $2,600

Example numbers, not a forecast. This is revenue before expenses and fees. It is not profit, and it does not subtract the receptionist’s own cost. Your own call log is the number that matters.

For scale: the monthly plan is $297 a month with the phone line included, plus a one-time build. See the pricing below.

How it works

From first call to live, in this order.

Fast build, slow telecom. The receptionist itself is built and tested in about one to two weeks, and it can start answering calls as soon as you approve it. Text alerts need US carrier approval for business texting (A2P 10DLC registration), which can take extra time. Until that clears, you still get the email after every call.

  1. Step 1

    Fit call.

Thirty minutes, free. How calls reach you now and what you miss. If you get a handful a week, I’ll tell you to answer them yourself.

  2. Step 2

    Intake.

A 45-minute call and whatever you have written down: services, prices, hours, the questions you answer every day.

  3. Step 3

    Build and write.

The phone line, the knowledge base, the voice, the rules about what it can’t promise, the message steps and the email to you.

  4. Step 4

    Test and review.

Automated test calls, then you ring it yourself. Nothing goes live until you’re happy with how it talks about your business.

  5. Step 5

    Live, then looked after.

Calls start going to it; text alerts switch on when carriers approve. It’s tuned weekly in the first month, then monthly, so its answers stay current.

What it never does

It answers the phone. It doesn’t play technician.

A confident wrong answer costs more than no answer. So the receptionist is built to say what it is, say what it doesn’t know, and hand the rest to you. It is tested with awkward callers and trick questions before it goes live.

  • It doesn’t diagnose. It writes down what the caller describes and passes it on. You or your tech decide what it is.
  • It doesn’t quote prices you haven’t approved. It only gives prices that are in its knowledge base. Anything else, it says it doesn’t know and takes a message.
  • It doesn’t confirm appointments. It takes the request and the caller’s details, and you set the time. Booking can often be added, depending on the calendar you use.
  • It doesn’t pretend to be a person. It introduces itself as an AI assistant up front. No fake names.
  • It doesn’t take payments or ask for sensitive personal information. It collects name, phone, email, website and the reason for calling, one at a time, and reads them back.
  • It doesn’t make things up.When it doesn’t know, it says so and offers to take a message.

Frequently asked questions

Straight answers.

What happens when someone calls at 2 a.m.?

The receptionist answers on its own phone line, finds out the reason for calling and how urgent it is, and takes the caller’s name, phone number and email, reading them back to confirm. You get an email a minute or two after the call ends. You can get a text alert as well, once US carriers have approved texting. During your working hours it can put the caller through to you instead.

How much does it cost?

A fixed build of $1,500 for the first 10 clients (the founders offer), then from $3,500. After that, $297 a month, which includes the phone line and 300 voice minutes; extra minutes are $0.35 each. The build is paid half to start and half at launch. You see the full quote before anything starts.

Will it pretend to be a person?

No. It introduces itself as an assistant. People don’t mind talking to a useful assistant; they do mind finding out later that “Sarah” wasn’t real.

What happens when it doesn’t know the answer?

It says so and offers to take a message. That’s built in and tested on purpose, because a confident wrong answer costs more than no answer.

Can it book appointments or take payments?

Booking can often be added, depending on the calendar you use. I’ll tell you on the fit call. It doesn’t take payments.

Do I need a new phone number?

No. Your receptionist gets a dedicated local number, or you keep your existing number and forward calls to it when you don’t answer.

What if we only miss a few calls?

If you get a few calls a week, answer them yourself. You’ll do it better. I’ll say that on the fit call rather than sell you something you don’t need.
